1. Scope and eligibility

Road to Purity Hermes (the “Bot”) is an internal AI assistant made available in Microsoft Teams only to authorized members of the Road to Purity Inc. team. It is intended to help with ministry-related research, planning, drafting, and operations. It is not offered to the public or to ministry participants as a counseling, clinical, emergency, or recovery service. Access can be changed or withdrawn at Road to Purity Inc.’s discretion. Users must follow the organization’s Microsoft Teams policies and applicable law.

2. Human review and limits

The Bot can be inaccurate, incomplete, or outdated. Its output is a draft unless a responsible person reviews and approves it. Do not rely on it as professional medical, mental-health, legal, financial, spiritual-direction, or safeguarding advice. It does not replace a qualified professional or clergy member. For an immediate safety concern or emergency, contact appropriate local emergency services or a qualified crisis resource; do not use the Bot for emergency response.

3. Sensitive information

Share only information necessary for an approved work purpose. Do not enter passwords, payment-card data, government identifiers, confidential donor details, identifiable recovery or health histories, personnel records, or information about minors unless Road to Purity has expressly approved the workflow and safeguards. Follow Road to Purity’s data-handling rules. Do not use the Bot to disclose another person’s private information without authorization.

4. AI and third-party processing

Messages and attachments may be processed by Microsoft Teams, the Bot’s connectivity services, Road to Purity’s local Hermes system, and its configured AI provider to produce a response. Conversation history and operational logs may be stored locally. The separate Road to Purity Hermes Privacy Notice describes the Bot’s processing, retention settings, and contact for privacy requests. The general website privacy policy at https://roadtopurity.com/privacy/ does not by itself describe this Bot.

5. Permitted use

Use the Bot for authorized Road to Purity work. Do not use it to harass others, generate illegal content, bypass access restrictions, impersonate people, or send or publish material without the required human authorization. A Bot-generated message is not an official position or commitment of Road to Purity unless an authorized person approves it.

6. Availability and changes

The Bot is provided on an as-available basis and may be unavailable because of the local host, internet connection, tunnel, Microsoft Teams, or AI provider. Road to Purity may modify, suspend, or discontinue it. These terms may be updated; changes should be posted with a new effective date and communicated to affected users when material.
